Team, Shop & Account Settings

Invite your team, set roles and permissions, fill in shop info, set default tax and labor rates, and manage your plan and payouts.

Settings is where you set up your shop once and let the rest of FireDeck read from it. Open Settings in the sidebar; the tabs are Shop Info, Team, Email Templates, Documents, Billing, Payments, and Account.

Most tabs require the Shop settings permission, Team requires User admin, and Account is open to everyone.

Invite team members

  1. Go to Settings → Team and click Invite Member (shop owner only).
  2. Enter the Email Address and pick a Role — Admin or Member.
  3. Click Send Invite. The invitation appears under Pending invitations; the trash icon cancels it.

Only the shop owner can invite people, change roles, remove members, or turn on Field Service seats. An Admin can manage others' access and see pending invitations; a Member can't.

Set what each person can open

The Access column controls which parts of FireDeck a person can reach — it hides the sidebar links and blocks the API behind them. Click Manage for per-module switches (Submittals, Inspections, Billing, User admin, Shop settings, Answering Service, AI Assistant, Documents, Canvas), then Save access. The owner always has full access; owners and admins can change anyone else's.

Turn on Field Service seats

The Field Service column is a per-tech seat for the field app — turn one on for each tech who works jobs on a phone or tablet. Owner-only. The first seat you enable in a session asks you to confirm the charge; seats bill per tech, prorated, and adjust your subscription automatically.

Per-member phone and call routing

Each row has a Name (how the person is shown across FireDeck), a Phone, and a Reachable switch — a member can edit their own, owners and admins anyone's. Reachable is the opt-in that makes someone selectable as an Answering Service destination: transfer and routing rules, escalation chains, default message recipients. A phone on file alone does not add them. See Answering.

Shop Info

Settings → Shop Info is the one place to edit your company identity: Shop Logo (PNG or JPEG, up to 5 MB), Shop Information (name, license, NICET details, timezone), Contact, Address, Trade & AHJ tools, and Office hours. Click Save Changes to apply. Saving mirrors those fields to the field app, so tablets, work orders, invoices, and proposals print the same company details; a phone number is required before the sync runs. With the field app connected, Additional details adds legal name, website, certification, brand color, and Drive folder name.

Under Trade & AHJ tools, Industry tailors wording across the app and Service trades lists every line of work you perform — trades are shop-wide, so saving updates every tech's app immediately and filters inspection flows to them. Your plan includes one billable inspection line; extras are priced on the page before you save. The AHJ / jurisdiction tracking switch shows or hides the AHJ workspace.

Default tax rate and labor rate

Both live under Settings → Billing and are manager-only:

Per-customer settings beat both: a state or county tax override applies instead of the default, and a customer's own Labor rate ($/hr) overrides the shop rate. Payment terms and those overrides live in Invoicing → Billing Settings — see Invoicing and Customers.

Your FireDeck plan

The top of Settings → Billing shows Current Plan: plan name, status, renewal or trial-end date, and a Your modules row. Manage Subscription opens the Stripe billing portal. Without an active subscription, the page lists bundles and à-la-carte modules with a Monthly / Yearly toggle and a running Total, and Continue to checkout goes to Stripe. Payments — let customers pay online

Settings → Payments connects your own Stripe account so customers can pay invoices by card. Click Connect Stripe and finish Stripe's onboarding; you return to a status badge — Active, Action needed, Setup incomplete, or Not connected — plus Refresh status and Disconnect. Once active, a Pay Now link goes out with completed work orders and can be added to invoices. Money reaches your bank through Stripe, at standard Stripe fees with no FireDeck cut.

Email Templates

Settings → Email Templates customizes the emails the field-service app sends. Pick one from the Email template dropdown, then add blocks, drag them into order, and edit the selected block. Preview it with sample data, Send test to me for a copy, Save to publish, or Reset to default to undo.

Documents

Settings → Documents holds the documents your techs produce, in three tabs: Contracts, Proposals, and Work Order. Use New document or New proposal, lay out the blocks in the builder, and set a default per kind. Archived documents stay available for historical records; the built-in sales and monitoring contracts can't be renamed or archived.

Account

Settings → Account is your personal login, open to every user. Change Email takes the new address and your current password, then emails a verification link there. Change Password needs your current password and a new one of at least 8 characters.

Frequently asked questions

How do I stop a technician from seeing invoices and pricing?

On Settings, Team, click Manage in that person's Access column, switch off the modules they should not reach, and press Save access. Switching a module off hides its sidebar links and blocks the API behind them, so it is not just cosmetic.

Why can't my office admin invite a new user?

Only the shop owner can invite people, change roles, remove members, or turn on Field Service seats. An Admin can manage everyone else's module access and see pending invitations, but cannot add or remove people.

Does adding a technician to the field app cost extra?

Why doesn't my teammate show up as a transfer option in the answering service?
