Extinguisher work lives and dies on dates. Every unit carries its own set of NFPA 10 clocks — monthly quick checks, the annual maintenance, a six-year internal exam on stored-pressure dry chem, and a hydro test at five or twelve years depending on the agent. Multiply that by a few hundred units across a few dozen buildings and a spreadsheet stops being a system.

Asset registry
Every extinguisher on file: manufacturer, model, serial, tag code, agent type, location, and manufacture date. Bring an existing inventory over with a CSV import — last service dates come with it, so the clocks start correct.
NFPA 10 schedules per agent type
Monthly, annual, six-year internal, and five- or twelve-year hydro computed per unit from the agent type — including the interlocks the standard actually specifies, like the hydro satisfying the internal exam.
NFPA 25 sprinkler ITM
Wet, dry, preaction, deluge, standpipe, fire pump, tank, and backflow systems each get their own clocks — quarterly, annual, the 3-year dry trip test, 5-year flow tests and internals — plus the Chapter 15 impairment workflow when a system goes out of service.

The field flow techs actually follow
The tech picks the customer, walks the building, and scans each unit's tag. Known units come up with their history; a unit the registry has never seen registers itself from the scan, because the wall is the source of truth for what's actually hanging there. Each unit gets its service recorded — pass or deficient, agent replaced or not, hydro pressure if it was a hydro — and anything wrong becomes a deficiency with a photo and a recommended correction.
Completing the visit prints the NFPA 10 service tags and the inventory report, syncs everything to the office, and drafts the invoice. If the same visit syncs twice, nothing duplicates.
Compliance you can hand to the AHJ
Every unit's history is a permanent, append-only record: what was done, when, by whom, at what pressure. The QR code on the printed tag opens that record for anyone who scans it — which turns a fire marshal's spot check from a records request into a ten-second glance at their phone.
Sprinkler ITM under NFPA 25
The same spine runs water-based systems. Register each system — wet, dry, preaction, deluge, standpipe, fire pump, water tank, backflow — and the NFPA 25 clocks compute per system type: quarterly and annual visits, the 3-year full-flow trip test on dry systems, the 5-year standpipe flow test, and the 5-year internal and obstruction assessment (tightened to 3 years for unprotected steel tanks, the way the standard actually reads).
When something is out of service, that's not just a deficiency — it's an impairment, and NFPA 25 Chapter 15 prescribes a procedure.
