M-02 · Field Service & Inspections

Run every inspection and work order from the truck.

An offline-first tablet app for your technicians — NFPA inspection forms, work orders, scheduling, GPS, and inventory — that keeps working even when there's no signal.

Overview

Fire alarm work happens in basements, mechanical rooms, and buildings with no cell service. Paper inspection forms get filled out in the field, then re-typed at the office, where details get lost and reports go out late.

FireDeck Field Service puts the whole job on a tablet. Techs complete NFPA-style inspections, work orders, and deficiency photos on site — online or off — and everything syncs back to the office the moment they have a connection.

The office sees status in real time, the customer gets a clean report, and the completed work flows straight into invoicing — so nothing falls through the gap between the field and the books.

What it does

Every part of Field Service & Inspections, covered.

NFPA inspection forms

Digital inspection forms aligned to NFPA 72 reporting, completed on a tablet and synced straight back to the office — no re-keying.

Work orders & scheduling

Dispatch jobs, assign technicians, and track every work order from open to complete in one board.

Works fully offline

Complete functionality with no signal. The app stores work locally and syncs automatically when the tech is back online.

GPS & crew tracking

See where every crew is in real time on a live map, so you can answer 'when will they be here?' and keep the day moving without calling the tech.

Inventory & parts

Track what's on each truck and what gets used on every job, so parts and billing stay accurate.

Photos & sign-off

Capture deficiencies with photos and collect a customer signature on site, attached to the record.

GPS timesheets & live map

Techs clock in and out with GPS, you watch crews on a live dispatch map, and timesheets build themselves from the punches. Managers can correct a punch without erasing the original — every change is logged.

Time off, tracked

Techs request vacation, sick, or PTO from the app; you approve or deny. Allowances and remaining balances are tracked per person, per year, so you're not doing it on a whiteboard.

Multi-location inventory

Track stock across the shop and every truck, transfer parts between locations, set low-stock thresholds, and keep an append-only ledger of every movement — including what techs use on a job.

Custom tablet forms

Build your own work-order and proposal forms for the field app — hide, reorder, and relabel sections, and add your own fields (text, number, dropdown, date, signature, photo).

Customer records on the truck

Every account's contacts, installed equipment, monitoring zones, service history, and notes — on the tablet in the field and in the office, kept in sync.

Who it's for

Any contractor running technicians in the field. The inspection content is tuned for fire alarm (NFPA-style forms), but the work orders, scheduling, GPS, inventory, offline capture, and photo sign-off are the same job for HVAC, electrical, security, and low-voltage crews.

If your techs work out of a truck and you're tired of re-typing paper forms back at the office, this is built for you.

Inspections that match how you actually report

Annual, semi-annual, quarterly, and monthly inspections each have their own checklist of devices and functions to test. FireDeck's inspection forms follow NFPA 72 reporting so a tech walks the building, tests each device, and records pass/fail and deficiencies as they go — on the tablet, in the order they work.

When the inspection is done, the report is done. There's no second pass at the office transcribing a paper form into a template, which is where errors and delays creep in.

  • Inspection types for annual, semi-annual, quarterly, monthly, acceptance, and retest
  • Per-device pass/fail with deficiency notes and photos
  • Reports generated from the field data, not retyped
  • A record per system, per visit, retained for history

Offline-first, because fire alarm work is

Detectors live in elevator pits, mechanical rooms, stairwells, and the back corners of buildings where there's no signal. An app that needs a connection to work is useless exactly where the work happens.

FireDeck Field Service is built offline-first: the tech has the full job — forms, devices, photos, signatures — stored on the device, works through it with zero connectivity, and the app syncs everything back automatically the moment it's online again. No lost work, no 'I'll finish it at the office.'

Dispatch, schedule, and see where the work is

From the office, assign work orders and inspections to technicians, set the schedule, and watch jobs move from open to in-progress to complete. GPS shows where crews are in real time, so you can see the day at a glance and answer the customer's 'when will they be here?' without a phone call to the tech.

Parts and inventory that stay honest

Track what's stocked on each truck and what gets consumed on each job. When a tech uses a part on a work order, it's recorded against that job — so the inventory count stays accurate and the part shows up on the invoice instead of getting eaten as a loss.

The field feeds the books

A completed work order isn't done until it's billed. FireDeck carries the completed job — labor, parts, and notes — straight into Customer Invoicing, so the front office turns finished field work into an invoice without re-entering a thing. Field Service and Invoicing are designed to work as one pipeline.

Run the crew, not just the calendar

Scheduling is only half of managing techs. FireDeck also handles the timekeeping and the time off. Techs clock in and out with GPS, a live map shows where everyone is, and timesheets build themselves from the punches — with an optional geofence that flags (never blocks) a clock-in outside your office radius. When a manager fixes a punch, the original is preserved and the change is logged.

Time off runs through the same app: techs request vacation, sick, or PTO, you approve or deny, and allowances and remaining balances are tracked per person, per year — no separate spreadsheet, no whiteboard.

  • GPS clock-in/out with a live dispatch map
  • Auto-built timesheets with an append-only manager-correction log
  • Optional office geofence that flags out-of-area punches
  • Time-off requests, approvals, allowances, and balances

Inventory and forms built around your shop

Parts live on trucks, not just in a warehouse. FireDeck tracks stock across the shop and every technician's truck, lets you transfer parts between locations, warns you when something runs low, and keeps an append-only ledger of every movement — including the parts a tech burns on a work order.

And the forms your techs fill out on the tablet are yours to shape: hide, reorder, and relabel sections on the work-order and proposal forms, and add your own fields — text, number, dropdown, date, signature, or photo — so the app matches how your shop actually works.

  • Multi-location inventory (shop + per-truck) with transfers and low-stock alerts
  • Append-only stock ledger, including field-app usage
  • Custom tablet form builder for work orders and proposals
  • Shared price list synced between the office and the field app

Priced per technician

Field Service is billed per tech seat — you pay for the technicians who actually use the app. Add a seat from your Team settings when you bring a tech on, turn it off when they leave, and the bill prorates automatically. Inside the Complete Platform bundle, seats are discounted to $79/tech.
