Price List, Contracts & Documents

The shared price catalog your field app uses, receipts that feed it, sales and monitoring contracts, and the builders for the PDFs and tablet forms.

Your price list, your contracts and your document layouts are all shared with the tablet field app your technicians use. Edit them here and the app picks the change up; what your techs do in the app shows up here. Everything below needs the Field Service module, and some tabs are rolled out per shop, so your nav may not show all of them.

The shared price list

Field Service → Price List is the catalog itself — the same prices the field app uses.

Each row has a Description, Price, Category, Part number, Supplier (who you order from) and an Upsell (an add-on the assistant suggests alongside it). Owners and admins also get Your cost, which nobody else can see.

To add an item, fill in the row under Add a new price and click +. To change one, edit it in place — a Save button appears as soon as something differs — and use the trash icon to remove it.

Beneath each item is a switch controlling whether the answering assistant may quote that price to a caller. Turn on the things you're happy to quote over the phone, like a 7Ah battery, and leave a panel off. Quote all to callers flips every item at once. This is website-only and changes nothing in the field app.

Owners and admins get two extra views next to All Items:

Block archives an item and makes future receipt imports skip it — the fix for a junk auto-add. It never deletes anything.

Receipts feeding the price list

Billing → Receipts holds every receipt your team captured on their tablets, plus any you upload here. Open one to see the file and the amounts and category read from it; corrections sync straight back to the field app. Receipts is its own add-on module.

An open receipt shows Added to the price list — the items the field app created from it. Correct a name, price or cost inline and it writes back to the shared price list, or Block one to remove it and skip it on future receipts.

To stop a whole expense category from ever feeding the catalog — meals and fuel, usually — click Categories and switch it off.

Contracts

Field Service → Contracts holds your Sales and Monitoring contracts on separate tabs, each searchable and sortable by Customer, Account #, Contract date and Status. Statuses are Draft, Pending signatures and Signed; a signed contract is locked against edits. Click a row to expand it, then Edit contract.

Click New contract and you first pick which contract document to use; that choice decides the form you fill in.

A sales contract covers Customer, Contract details (date, status, installation address, system description), Equipment lines with description, quantity and unit price, and Pricing with the payment frequency (Quarterly, Semi-Annually, Annually) and balance payment terms.

A monitoring contract covers Customer (including the subscriber / premise name), Monitoring details including the panel type, the Zone codes with their conditions, and the Persons to notify list with each contact's name, phone and password.

Every contract links to an existing customer. Signatures and the PDF are produced in the field app, not here.

Document builder

Settings → Documents is where the PDFs your customers receive are laid out, on three tabs:

The builder itself is full-screen. The Add Blocks palette on the left offers Numbered Clauses, Party Block, Field Rows, Terms Table, Acknowledgement, Page Break, Heading, Text, Image, Divider, Spacer and Signatures; you drag blocks into order and configure each one, with a live preview beside you. On the work-order layout, line items, totals, tax and signatures stay exactly as captured — only the layout changes.

App Forms is easy to confuse with this: it customizes the form your tech fills in on the tablet, not the PDF the customer receives. It has a Proposal form and a Work order form, each letting you hide, reorder and relabel sections and add your own typed fields.

Documents, time off and tech activity

Field Service → Documents is the shared file area. System Documents holds the PDFs the field app generated, on tabs for Work Orders, Contracts, Proposals and Receipts. Company Files is a folder tree for everything else, with New Folder and Upload.

Field Service → Time Off lists your technicians' requests and a Balances section per year showing allowance, used and remaining. Approving a request deducts the days from that tech's annual balance. New request files one on their behalf, and managers can Set allowance or Add manual time off.

Field Service → Tech Activity is clock in and out, hours, and — for managers — live locations, timesheets with correction requests, and the clock-in policy.

Frequently asked questions

If I change a price here, do my techs see it on the tablet?

Yes. This page edits the same catalog the field app reads, not a copy, so the change is there next time a tech opens it. It works the other way too — an item added out in the field turns up in this list.

Can my technicians see what I pay for parts?

No. Your cost is owner and admin only, and it is stripped out on the server before the price list reaches anyone else, so it never lands on a tech's tablet. The Recently Added and Blocklist views are owner and admin only for the same reason.

How do I stop junk items from scanned receipts landing on my price list?

Block the item. That archives it and makes every future receipt import skip it, and Restore on the Blocklist undoes it if you change your mind. To shut off a whole expense category — meals and fuel, usually — click Categories on the Receipts page and switch it off.

Can I stop the answering assistant from quoting some prices to callers?

Each item has its own switch for whether the assistant may quote it, so you can leave a 7Ah battery on and a panel off, and Quote all to callers flips them together. That switch is website-only and changes nothing your techs see in the field app.

Can I change how the work order PDF my customer receives looks?

Yes, under Settings, Documents on the Work Order tab. It is one fixed layout per shop rather than a list, and only the layout changes — line items, totals, tax and signatures stay exactly as the tech captured them. App Forms is the other one: that changes the form the tech fills in on the tablet, not the PDF the customer gets.
